Data Collection on Our Website
Data processing on this website is carried out by the website operator (see Legal Notice/Imprint).
We collect data in two ways:

2. Newsletter (Brevo)
We use Brevo (Sendinblue GmbH, Köpenicker Straße 126, 10179 Berlin, Germany) to send our newsletter.
Data
When you subscribe to our newsletter, the information you provide, such as your email address and, where applicable, your name, is transferred to Brevo.
Purpose
The newsletter is sent to provide information about Munich Climate Week.
Legal basis
The processing is based on your consent pursuant to Article 6(1)(a) GDPR.
Withdrawal of consent
You may withdraw your consent at any time by using the “unsubscribe” link in the newsletter or by contacting us.
Data Processing Agreement
We have entered into a Data Processing Agreement (DPA) with Brevo. This agreement is required under data protection law and ensures that Brevo processes the personal data of our website visitors only in accordance with our instructions and in compliance with the GDPR.
3. Your Rights
You have the right at any time to:
obtain information about the personal data we store about you;
request the correction or deletion of your data;
request the restriction of processing; and
lodge a complaint with the competent supervisory authority, the Bavarian State Office for Data Protection Supervision (Bayerisches Landesamt für Datenschutzaufsicht).
4. Hosting and Server Log Files
The website provider automatically collects and stores information in so-called server log files, which your browser automatically transmits to us, including:
IP address;
timestamp; and
browser type.
This data cannot be attributed to specific individuals and is used solely to ensure the proper and error-free operation of the website.
5. Event Registrations
Privacy Notice for Event Registrations via Luma
Controllers and Joint Controllership
For the processing of personal data collected in connection with event registrations, Munich Climate Week n.e.V., Danziger Str. 7, 80805 Munich, Germany, email: info@munichclimateweek.com, and the event partner identified on the respective Luma event page by its full legal name and contact details are generally joint controllers within the meaning of Article 26 GDPR.
Munich Climate Week n.e.V. is primarily responsible for:
the central administration of events on Luma; and
coordinating the overall Munich Climate Week programme.
The respective event partner is primarily responsible for:
planning and conducting the relevant event; and
event-specific registration questions.
The respective controllers have defined their responsibilities for the processing of personal data under their joint controllership. The essence of the arrangement between the joint controllers will be made available to data subjects upon request.
Data subjects may exercise their rights against either of the joint controllers.
Personal Data Processed
In connection with event registration, we may process the following categories of personal data in particular:
name;
email address;
registration, waiting-list and attendance status; and
depending on the respective event, additional information such as:
telephone number;
company;
position;
LinkedIn profile; and
responses to event-specific registration questions.
Which information is mandatory in each individual case is indicated in the respective registration form.
Information marked as mandatory is required to process the registration. Failure to provide optional information will generally not affect participation, unless such information is expressly required for a specific purpose.
Purposes and Legal Bases
Personal data is processed in particular for the following purposes:
processing and administering registrations;
organising and conducting the event;
managing participant and, where applicable, waiting lists;
event-related communication;
post-event follow-up;
coordinating and evaluating the overall Munich Climate Week programme; and
improving future events.
Where processing is necessary to process the registration and organise and conduct the event, the legal basis is Article 6(1)(b) GDPR.
Where personal data is processed for the coordination and evaluation of the programme or for improving future events, and such processing is not already necessary for conducting the event, the legal basis is Article 6(1)(f) GDPR.
Our legitimate interest lies in the efficient coordination, evaluation and further development of the event programme. Where possible, aggregated or anonymised data will be used for these purposes.
Where processing is necessary to comply with a legal obligation, the legal basis is Article 6(1)(c) GDPR.
Personal data will only be processed for newsletter purposes or invitations to future events on the basis of a separate, voluntary consent pursuant to Article 6(1)(a) GDPR.
Use of Luma
Event registration is facilitated through the Luma platform operated by Luma Labs, Inc.
Depending on the specific processing activity, Luma processes personal data:
partly as a processor on behalf of the event organisers; and
partly as an independent controller for its own platform functions.
Luma states that personal data processed in connection with its services is primarily stored in the United States.
Where personal data is transferred to countries outside the European Union or the European Economic Area in connection with the use of Luma, such transfers are carried out in accordance with the requirements of Articles 44 et seq. GDPR.
Where required, appropriate safeguards for international data transfers are used, in particular the European Commission’s Standard Contractual Clauses.
