General Information
The following information provides a simple overview of what happens to your personal data when you visit our website. Personal data means any data that can be used to personally identify you.
Data Collection on Our Website
Data processing on this website is carried out by the website operator (see Legal Notice/Imprint).
We collect data in two ways:
Some data is provided directly by you, for example when you subscribe to our newsletter.
Other data is collected automatically by our IT systems, such as your IP address or browser type.
2. Newsletter (Brevo)
We use the provider Brevo (Sendinblue GmbH, Köpenicker Straße 126, 10179 Berlin, Germany) to send our newsletter.
Data: When you subscribe to our newsletter, the data you enter (e-mail address and, if applicable, name) is transferred to Brevo.
Purpose: The newsletter is sent to provide information about the Munich Climate Week.
Legal basis: The processing is carried out on the basis of your consent (Art. 6(1)(a) GDPR).
Withdrawal: Consent is voluntary and may be withdrawn at any time with effect for the future by e-mail to info@munichclimateweek.com or via the "unsubscribe" link in the newsletter. The newsletter is published monthly.
Commissioned data processing: We have concluded a data processing agreement (DPA) with Brevo. This is a contract required under data protection law which ensures that Brevo processes the personal data of our website visitors only on our instructions and in compliance with the GDPR.
3. Your Rights
You have the right at any time to:
obtain information about the personal data we store about you;
request the correction or deletion of your data;
request the restriction of processing; and
lodge a complaint with the competent supervisory authority, the Bavarian State Office for Data Protection Supervision (Bayerisches Landesamt für Datenschutzaufsicht).

4. Hosting and Server Log Files
The website provider automatically collects and stores information in so-called server log files, which your browser automatically transmits to us, including:
IP address;
timestamp; and
browser type.
This data cannot be attributed to specific individuals and is used solely to ensure the proper and error-free operation of the website.
5. Privacy Notice for Event Registrations via Luma
Responsibility for event registrations
The data protection role in the processing of personal data in connection with event registrations within the context of the Munich Climate Week depends on the specific event and the respective purpose of processing.
Jointly organised events: Where an event is organised jointly by Munich Climate Week n.e.V., Danziger Str. 7, 80805 Munich, Germany, e-mail: info@munichclimateweek.com, and the event partner named on the respective Luma event page with its full legal name and contact details, and both jointly determine the purposes and essential means of the processing of the registration data, MCW and the respective event partner are joint controllers within the meaning of Art. 26 GDPR. In this respect, MCW is in particular responsible for the integration of the event into the overall Munich Climate Week programme as well as for overarching organisational coordination tasks. The respective event partner is in particular responsible for the planning and running of the specific event as well as for event-related registration matters. The essence of the joint controller agreement will be made available to data subjects on request. Data subjects may exercise their rights against any of the joint controllers. Registration takes place via the Luma platform (lu.ma); in this process, data may be transferred to the United States (safeguarded by the EU-U.S. Data Privacy Framework / Standard Contractual Clauses: Datenverarbeitungsvereinbarung · Luma).
Partner events
Where an event is organised and run exclusively by the respective event partner, the event partner named on the respective Luma event page is the controller for the processing of the personal data processed in the course of the organisation and running of the event. Munich Climate Week n.e.V. processes your details as an independent controller for the arrangement and organisation of the Munich Climate Week programme. Registration takes place via the Luma platform (lu.ma); in this process, data may be transferred to the United States (safeguarded by the EU-U.S. Data Privacy Framework / Standard Contractual Clauses: Data Processing Agreement · Luma).
Munich Climate Week n.e.V.'s own processing: Where Munich Climate Week n.e.V. processes personal data on the basis of a separate legal basis for its own purposes, in particular for communicating its own events, initiatives or for managing consents given, this processing is carried out under Munich Climate Week n.e.V.'s own data protection responsibility.
Personal Data Processed
In connection with event registration, we may process the following categories of personal data in particular:
name;
email address;
registration, waiting-list and attendance status; and
depending on the respective event, additional information such as:
telephone number;
company;
position;
LinkedIn profile; and
responses to event-specific registration questions.
Which information is mandatory in each individual case is indicated in the respective registration form.
Information marked as mandatory is required to process the registration. Failure to provide optional information will generally not affect participation, unless such information is expressly required for a specific purpose.
Purposes and Legal Bases
Personal data is processed in particular for the following purposes:
processing and administering registrations;
organising and conducting the event;
managing participant and, where applicable, waiting lists;
event-related communication;
post-event follow-up;
coordinating and evaluating the overall Munich Climate Week programme; and
improving future events.
Where processing is necessary to process the registration and organise and conduct the event, the legal basis is Article 6(1)(b) GDPR.
Where personal data is processed for the coordination and evaluation of the programme or for improving future events, and such processing is not already necessary for conducting the event, the legal basis is Article 6(1)(f) GDPR.
Our legitimate interest lies in the efficient coordination, evaluation and further development of the event programme. Where possible, aggregated or anonymised data will be used for these purposes.
Where processing is necessary to comply with a legal obligation, the legal basis is Article 6(1)(c) GDPR.
Personal data will only be processed for newsletter purposes or invitations to future events on the basis of a separate, voluntary consent pursuant to Article 6(1)(a) GDPR.
Use of Luma
Event registration is facilitated through the Luma platform operated by Luma Labs, Inc.
Depending on the specific processing activity, Luma processes personal data:
partly as a processor on behalf of the event organisers; and
partly as an independent controller for its own platform functions.
Luma states that personal data processed in connection with its services is primarily stored in the United States.
Where personal data is transferred to countries outside the European Union or the European Economic Area in connection with the use of Luma, such transfers are carried out in accordance with the requirements of Articles 44 et seq. GDPR.
Where required, appropriate safeguards for international data transfers are used, in particular the European Commission’s Standard Contractual Clauses.

6. Use of Google Analytics
This website of the Munich Climate Week (Danziger Str. 7, 80805 Munich, Germany, e-mail: info@munichclimateweek.com) uses Google Analytics, a web analytics service provided by Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland. Google Analytics uses cookies to enable a user-related analysis of the use of our website. The information collected about your use of this website – in particular your truncated IP address, the pages visited, time spent on the site, the browser type used as well as device and operating system data and the time of your visit – is usually transmitted to and stored on a Google server; your IP address may be transmitted to servers of Google in the United States. The information obtained is used by us to design our website and the Munich Climate Week programme in line with demand and to measure the reach of our offering. Google may combine this data with data from other Google services.
The legal basis for the processing is your consent pursuant to Art. 6(1)(a) GDPR in conjunction with Section 25(1) TDDDG (German Telecommunications Digital Services Act). Google Analytics is only loaded on this website after you have given your prior consent via our consent banner. You may withdraw your consent at any time with effect for the future via the consent banner or the settings provided there.
Transfers of data to the United States are based on the EU-U.S. Data Privacy Framework, which is underpinned by an adequacy decision of the European Commission of 10 July 2023 and under which Google Ireland Limited and its parent company Google LLC are certified (Art. 45 GDPR). In addition, Google has made the European Commission's Standard Contractual Clauses applicable, which additionally safeguard the processing by the provider under Art. 46(2)(c) GDPR. Data collected by Google Analytics is stored by Google for a period of 14 months, depending on the configuration, or for as long as necessary for the above purposes.
You can also prevent the collection of your data by Google Analytics by installing the browser add-on for deactivating Google Analytics at https://tools.google.com/dlpage/gaoptout. In addition, you have the rights of access, rectification, erasure, restriction of processing, data portability and objection pursuant to Art. 15–21 GDPR; you also have the right to lodge a complaint with a data protection supervisory authority. The competent supervisory authority is the Bavarian State Office for Data Protection Supervision (BayLDA), Promenade 27, 91522 Ansbach, Germany.
